About BeeflowBeeflow applies scientific knowledge and technologies to bee pollination. By providing professional pollination services to farmers, we increase crop yields by 20-90% in Blueberries, Almonds, Raspberries, and Kiwifruit all while reducing bee population decline. We are based in Ventura County, CA but work throughout multiple regions in the US and Latin America with dozens of customers during their crop pollination season.We are rapidly expanding our team as we recently closed an $8.3M Series A round led by Ospraie Ag Science and joined by Future Ventures (Steve Jurvetson, board member at Tesla & SpaceX and Maryanna Saenko), Vectr Ventures, SOSV, GridX and Jeff Wilke (former #2 at Amazon, CEO of Worldwide Consumer).About the roleWe are looking for an experienced People Experience Associate to support the CEO and the Director of People. The person in this role will need to be a masterful problem-solver with strong organizational and planning skills. Additionally, the ideal candidate will have exceptional communication skills and thrive in a fast-paced, high-intensity work setting.As part of your job description, you will ensure the smooth running of the office and help to improve company procedures and day-to-day operation. You will also work on a one-to-one basis on a variety of tasks related to executive's working life supporting daily operations, logistics, and other project-based support.This role reports to the Director of People. This position is full-time. This position is based in the Thousand Oaks, CA, area.Responsibilities

  • As one of your first projects, manage the move to a new office in the Somis area. This includes: managing the relationship with the realtor to seek a new office space that meets the needs of the company, managing the relationship with contactors and any other vendors we need to have the office up and running, buying all furniture and equipment necessary, managing communications with our team regarding the move. etc.
  • Serve as the point person for office manager duties, including: Maintenance, Mailing, Supplies, Equipment, Bills, Errands, Shopping
  • Ensure everyone has everything they need in order to work properly
  • Schedule meetings and appointments for the CEO
  • Organize the office layout and order stationery and equipment
  • Maintain the office condition and arrange necessary repairs
  • Partner with the Director of People to update and maintain office policies as necessary
  • Organize office operations and procedures
  • Coordinate with our IT supplier on all office equipment
  • Ensure that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Manage office budget and ensure accurate and timely reporting
  • Provide general support to visitors
  • Assist in the onboarding process for new hires
  • Address employees queries regarding office management issues.
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Plan in-house or off-site activities, such as staff meetings, celebrations and special events (in-person and online).
  • Help in the offboarding process of people who leave the companyRequirements
    • Proven experience as an Office Manager, Administrative Assistant or similar positions.
    • Proven experience providing support to one or more executives
    • Experience with Microsoft Office and Google Suite
    • Excellent time management skills and ability to multitask and prioritize work
    • Attention to detail and problem solving skills
    • Excellent written and verbal communication skills
    • Strong organizational and planning skills in a fast-paced environment
    • A creative mind with an ability to suggest improvements
