Bilingual Office Administrator Job Summary We are seeking a highly organized and responsible Bilingual Office Administrator to oversee our administrative operations. On a daily basis, you will organize files, review bills and accounts payable, answer calls and respond to client questions, schedule appointments, and process payroll. Your primary goal is to keep our administrative office running smoothly. Our ideal candidate has at least three years of administrative assistant or customer service roles and knows how to manage the different administrative needs of a busy office. Extensive training is involved and the successful applicant must be solely interested in long-term employment. Incentive bonus plan available in addition to salary. Office Manager Requirements and Qualifications Bachelor's degree in psychology or sociology preferred.Bilingual English/Spanish is mandatory, as some of our clients only speak Spanish.Proficient computer skills, including Microsoft Office Suite.Experience in an administrative, customer service, or another related role.Basic knowledge of accounting. MAS-90 experience preferred.Excellent communication and organizational skills.Flexibility to travel to other Foster Assessment Center offices as required. Office Manager Duties and Responsibilities Collaborate with management to complete necessary projects; work independently on prior delegated tasks.Answer phones, direct calls, take and deliver messages as needed; prepare outgoing mail (including prepping larger packages for sending); sort and deliver incoming mail to appropriate persons.Manage scheduling, budgeting, and payroll.Complete basic bookkeeping and record-keeping duties.Help when requested, with all Vocational Technician and Secretary duties including test administration, scoring, and behavioral observations.Schedule meetings and appointments; provide reminders to staff when important events are upcoming.Ensure an organized, clean, and tidy workspace.Monitor and use office equipment and materials (computers, printers, fax machines, copiers, physical files, etc.).Take meeting notes and transcribe them into email, document, or spreadsheet form.Organize and inventory office supplies and order more when needed.Ensure that invoices are paid on time. Assessments range from one day to ten days and focus not only on basic skills but also determine learning style, physical tolerances, aptitudes, skills, worker traits, as well as ability to return to work. For over 30 years, FACTS has conducted CalWORKs vocational and career assessments and learning disability evaluations in Fresno, Kern, Los Angeles, Orange, San Bernardino, Riverside, and Ventura Counties. FACTS assessors have also conducted thousands of vocational and career assessments for youth and for individuals through social services agencies throughout Southern California. FACTS has grown to provide assessment services through our eight CARF-accredited assessment centers. To date, FACTS has provided assessment services for over 250,000 individuals. Our staff is highly qualified and experienced, as, we have both Certified Vocational Evaluation Specialists (CVEs) and Professional Vocational Evaluators (PVEs) on the FACTS staff.Our final product is a report that specifies the individual's current vocational abilities regarding successful employment, vocational options, and outlines career advancement strategies. We do not place individuals in jobs, nor do we assist in teaching interviewing skills or resume development. We are specialized evaluators assisting in determining the most appropriate career direction for an individual through objective testing and documentation of current skill levels. Our reports are utilized by referring agencies and professionals to assist individuals in their career development.
