The Project Coordinator, Operations and Communications will be responsible for supporting the Operational Excellence organization at Atara. This position coordinates, advancing, and drives Operational Excellence initiatives such as supporting communications, operational excellence projects, training development, and deployment of the Operational Excellence strategy. This role is a key contributor to the Operational Excellence team.

Reports to - Sr. Director, Operations

Location - Thousand Oaks, CA

Primary Responsibilities

  • Work with key leaders to create, edit, and manage communications and presentations to advance Operational Excellence
  • Arrange and coordinate core internal communication including email messages, newsletters, memos, photos, videos, and sites on Atara's IT platforms (i.e. Microsoft Teams, Outlook, SharePoint, etc.)
  • Maintain and monitor project plans and project schedules for the Operational Excellence team
  • Support the creation, delivery, and maintenance of the Operational Excellence training program at Atara
  • Support the video training platform and developing educational and training content
  • Contribute to and monitor key performance indicators (KPIs) to measure effectiveness of training program and communications
  • Ensure all content is approved, on-brand, and consistent in terms of style, messaging, quality, and tone
  • Develop, maintain, and improve Operational Excellence tools, methodology, and communication flows
  • Document, follow up, and communicate important actions and decisions from meetings
  • Chair and facilitate meetings where appropriate and distribute minutes to all project team members
  • Create and maintain a project management calendar for fulfilling organizational goals and objectives
  • Support and coordinate with stakeholders on general operations communications
  • Support and promote all aspects employee engagement activities and events
  • Provide administrative support as needed (i.e., manage calendars, reimbursements, training events, etc.)

Qualifications

  • Minimum of 2 years of project coordination/management, communications, marketing, office administrative experience, or equivalent preferred
  • Bachelor's degree in Business, English or related field of study
  • Demonstrate strong initiative and communication skills to work across functions and influence to facilitate execution of key projects and initiatives
  • Exceptional verbal, written and presentation skills
  • Ability to work effectively both independently and as part of a team
  • Strong background in Microsoft applications including Word, PowerPoint, Excel, and Outlook
  • Knowledge in file management, transcription, and other administrative procedures
  • Ability to work on tight deadlines and experienced in planning and schedule management
  • Be flexible to support prioritized Atara initiatives in whatever capacity is required
  • Biotech/Pharmaceutical experience preferred
  • Event planning experience preferred
